Who this covers

This policy explains how Retro Customs Brokers, LLC handles personal information. It covers information collected through this website and through enquiries made to us by telephone and email, and it applies to visitors, prospective clients and clients.

Customs brokerage necessarily involves handling information about shipments and the businesses behind them. Where that information identifies an individual, it is treated as personal information and covered here.

What we collect

When you contact us or complete a form, we collect what you provide: your name, business name, email address, telephone number and the details of your enquiry, including information about the goods, origin, port and timing.

When you are a client, we hold the information required to act as your customs broker: entry and shipment records, commercial documentation, and correspondence relating to your imports. Some of this is information we are legally required to retain.

We also collect limited technical information automatically when you visit the site, such as pages viewed and general location derived from network information, used to understand how the site is used.

Why we hold it

To respond to your enquiry, to quote for work, to carry out customs brokerage on your behalf, and to meet the recordkeeping obligations that apply to licensed customs brokers.

We also use it to communicate with you about work in progress, and to improve this site. We do not sell personal information, and we do not share it for unrelated advertising.

Who we share it with

With government agencies where required to make entry and conduct customs business on your behalf, which is the substance of what you are engaging us to do.

With service providers who help us operate, including the providers that host this site, deliver our email, and run the customer relationship system in which enquiries are recorded. These providers act on our instructions.

With the partners who physically handle cargo — drayage, warehousing, examination coordination — to the extent needed to move your shipment. And where we are legally required to disclose it.

How long we keep it

Records relating to customs entries are retained for the periods required of licensed customs brokers, which extend for years after the entry.

Enquiries that do not become work are kept for a shorter period, long enough to maintain a sensible commercial record, and then deleted.

Your choices

You can ask us what personal information we hold about you, ask us to correct it, and ask us to delete it. Deletion requests are limited by the records we are legally required to keep, and we will tell you where that applies rather than refusing without explanation.

You can opt out of non-essential email from us at any time. Communications about work in progress are not marketing and will continue while we are acting for you.

Residents of some states have additional rights under state privacy law. If you believe you have such rights and want to exercise them, contact us and we will deal with the request on its merits rather than on whether you cited the right statute.
